Who we are and scope

AI Essentials Hub Ltd is the data controller for information collected through this site and during delivery of our services. Registered office: 86-90 Paul Street, London, EC2A 4NE, United Kingdom. Contact: [email protected], +44 20 4538 8761. This policy covers website browsing, downloads from our resource library, enquiries via forms or email, and participation in workshops or coaching. It does not cover third party sites you may visit from external references. We follow the UK GDPR and the Data Protection Act 2018 and aim for clear, minimal, and secure processing at all times.

Personal data we collect

We collect data you provide directly such as name, work email, phone number, role, company, and message content. During engagements we may process materials you supply like briefs or examples. We also collect limited technical data for security and performance such as IP address, device type, pages viewed, and cookies. Optional analytics and preference cookies operate only with your consent through our cookie controls. We do not intentionally collect sensitive categories of data. Please avoid submitting confidential or personal information unless it is necessary and approved for the task.

How we use data and legal bases

We use your information to respond to enquiries, deliver services, operate our website, improve resources, and comply with legal requirements. Lawful bases include consent for optional analytics and marketing, contract when we provide services you request, legitimate interests for security, service improvement, and internal reporting, and legal obligation where records must be retained. We avoid unnecessary collection, limit access to those who need it, and apply technical and organisational safeguards that are reasonable for the size and nature of our business.

Sharing and international transfers

We may share data with service providers that help us host the site, manage communications, schedule sessions, or analyse performance. These providers act under contract and only process data on our instructions. Where data is transferred outside the UK, we use appropriate safeguards such as standard contractual clauses or rely on an adequacy decision. We may also share information if required to comply with law or to protect our rights, users, or the public.

Retention

We keep personal data only as long as necessary for the purposes described. Typical periods are 24 months for general enquiries and newsletter records, 12 months after project completion for client work materials unless a different period is agreed, and up to 14 months for aggregated analytics. When retention ends we delete or anonymise the information. If you ask us to erase data and we have no legal reason to keep it, we will comply.

Under the UK GDPR you have the right to access your data, request correction, request deletion, restrict or object to processing, and request portability. Where we rely on consent you can withdraw it at any time. You also have the right to complain to the Information Commissioner’s Office. We encourage you to contact us first so we can address your concerns quickly.

  • Erasure and restriction: ask us to delete or limit use where appropriate.
  • Portability: receive data you provided in a commonly used format.
  • Objection: object to processing based on legitimate interests or marketing.
